Japan tax refund status: checking it and contacting the refund company

Since 1 November 2026 your refund is paid by the refund company named on your receipt, not by customs or the airport. If the money has not arrived, registration failed or the kiosk showed red, contact that company. Below are the official channels we found and a generator that writes the email in Japanese for you.

Who to contact

The receipt or the sheet the shop gave you names the refund company, usually next to the QR code you used to register. That company holds your registration and pays the refund.

Customs only confirms that the goods leave Japan; it does not pay refunds and cannot see their status. The Japan Tourism Agency also tells travellers to ask the shop or the refund company. The shop can tell you which refund company it uses.

No official waiting time has been published. Media reported about a week for refunds to a credit card, and PIE VAT says it normally pays within 15 business days.

Questions

When should I contact the refund company?
There is no official waiting time. If a week has passed since you left Japan and nothing has arrived, or if registration showed an error, ask. Keep the receipt until the refund arrives.
How long do Global Blue and Planet refunds take in Japan?
Neither has published a number of days for Japan’s new system. Media reported about a week for refunds to a credit card, and PIE VAT normally pays within 15 business days. If it takes longer, check the status as shown above or contact the company.
Registration failed. What should I do?
Use the QR code or link from your receipt, and keep your phone with you for the verification code. If it still fails, take a screenshot of the error and contact the refund company; if you are still in Japan, the shop can also help.
Can customs or the airport help?
Customs only confirms the export and does not handle the money. Airport cash counters and Self Tax Refund machines can only answer for refunds they paid themselves.
The kiosk showed red. Will I still get the refund?
Red only means a customs officer has to check the goods. If the officer confirmed them at the counter, the refund goes ahead; if it does not arrive, ask the refund company. If you left without going to the counter, ask the refund company whether anything can still be done.
Can I just write in English?
Global Blue, PIE VAT and Planet have help pages in English, so English often works. A Japanese email helps when support is only in Japanese or when an English message gets no reply.
Is what I type in the generator sent anywhere?
No. The generator runs in your browser and nothing you type is sent to us.
